Privacy Policy

Property Notepad ("we," "us") helps home buyers capture notes, photos, voice memos, and scores while touring properties. This policy explains what information we collect through the Property Notepad app and website, and how we use it.

Account information. We use your email address to create and sign you into your account. No password is required.

Content you create. Notes, photos, voice memos, and property scores you add to a visit, along with the property address you enter or detect via GPS.

Location. With your permission, we use your device's location to find nearby open houses, plan routes between properties, and fill in a property's address automatically when you're there. You can decline this and enter addresses manually instead.

Camera and microphone. With your permission, to let you capture photos and record voice memos of a property visit.

We use your information to operate the app: storing your notes and media, syncing shared workspaces between collaborators (co-buyers, family, or your agent), and using AI to help you review a visit. If you record a voice memo, the audio is sent to our transcription provider (OpenAI) solely to convert it to text. Notes, voice transcripts, and scores you add to a visit may be sent to our AI provider (Anthropic) solely to generate a short summary of that visit.

When you create an account we send you a welcome email with tips for getting started. We also email you about your account, such as sign-in links and invitations.

We do not sell your personal information or your content to third parties.

Your notes and property visits are visible to anyone you invite into a shared workspace. We do not make your content public.

If you contact us for help, or something isn't working, we may view your account to find and fix the problem. This access is limited to the Property Notepadowner, is read-only (it can't change or delete anything), lasts a short time, and is logged. We use it only to provide support, keep the service secure, and fix bugs, never for marketing.

We share limited information with the following providers, solely to operate the features they support:

• Anthropic — generates visit summaries and drafts listing-agent feedback from your notes, voice transcripts, and scores.
• OpenAI — transcribes your voice memos to text (gpt-4o-mini-transcribe).
• Mapbox — powers address search and static maps.
• Resend — delivers account and invite emails.
• Telnyx — sends SMS invite texts.
• Bridge Interactive — supplies MLS listing and open-house data.
• Apple — authenticates you when you choose Sign in with Apple.

We retain your content for as long as your account is active. You can permanently delete your account and all of its data at any time from within the app (Account → Delete account), or contact us at help@propertynotepad.com.

The Property Notepad website and app don't use advertising or tracking cookies. We use only what's essential to keep you signed in and remember your session.

Property Notepad is not directed to children under 13, and we do not knowingly collect information from them.

We may update this policy as the app evolves. Material changes will be reflected by updating the date at the top of this page.
